10 Questions to Ask before Booking a Group Tour

At Transforming Travels, every journey should feel like it was made just for you, and every trip should give you co-travellers who make you feel as if you have met your long-lost friends. Whether you’re exploring remote valleys, buzzing cities or serene beaches, your travel experience should align with your expectations.

While our website already has detailed sections covering inclusions, exclusions, cancellation policies, refund processes, FAQs, packing lists and terms & conditions, we still encourage you to ask us these questions directly if you still feel that you are missing clarity. Why? Because personal conversations leave no room for confusion or mismatch of expectations.

After all, once you’ve signed up for a group tour, you are on board for the itinerary & package that’s pre-decided, and can’t be changed as it’s been promised to other travellers as well who have signed up for the same group tour. Feel free to ask as many questions as you like before making any payment. These will help ensure the trip aligns perfectly with your needs.

In this article, we’ve compiled 10 key questions every traveller should ask before committing to a group tour.

Here are a few questions worth thinking about before you book a group tour:

1. Are There Any Age or Fitness Restrictions?

Not every trip suits every traveller. Some tours may involve long walks, high altitudes or light trekking, while others are leisurely and more accessible.

At Transforming Travels, our tours are all age-inclusive. We’ve hosted guests from their early 30s to 65+. There are no restrictions from our side, but we encourage you to assess your fitness level honestly.

Sometimes a 60-year-old is fitter than a 30-year-old. Ask us anything, but ultimately, you must assess if the trip suits your fitness level. You can also ask us about the age groups that joined a particular trip in the past to assess your fitness for that specific tour.

We’re happy to answer as many questions as you need to help you decide if a particular tour suits your comfort and pace.

2. What Kind of Travellers Usually Join a Group Tour?

Knowing the kind of people you’ll be travelling with can greatly affect your experience.

Our trips bring together a diverse mix of warm, respectful, and like-minded travellers from across India. We have travellers from metropolitan cities as well as tier-two cities. We host professionals from varied fields, such as educators, bankers, artists, doctors, entrepreneurs, defence personnel, social workers, world travellers, and Bollywood celebrities etc.

Our tours, in spite of being open to both men & women, we see 80% of women’s participation. Why? Because Transforming Travels is founded and led by a female founder, Chandni Aggarwal. Women trust us for their safety. They value our professional behaviour and the smooth flow of our trips. They also appreciate the personal touch and warmth they experience during the journey.

One of the most common compliments we hear is how much our travellers appreciate the classy and non-intrusive company of fellow participants.

3. What’s Included and What’s Not?

This is a must-ask question to avoid hidden surprises.

Always confirm whether from the website or in person, whether the price includes:

  • Accommodation for how many nights
  • Meals (which ones?)
  • Sightseeing and entrance fees
  • Local transport
  • Tour leader/guide presence
  • Internal flights or train tickets (if any)
  • Visas (if any)
  • Mandatory Tipping (if any)
  • Activity costs

Our website lists inclusions and exclusions, but feel free to clarify in a one-on-one chat if you are travelling with us for the first time and are not very clear about the information on the website.

4. How Flexible Is the Itinerary?

Some travel companies or some travel groups just mention a suggestive itinerary and may not end up showing you everything mentioned in the itinerary, while others follow their itinerary very professionally, which most of the travellers also want.

At Transforming Travels, we follow our itinerary like a bible because that’s what you sign up and pay for. Of course, there could be exceptions in cases when things are not in our control, such as unexpected weather changes, political disturbances, or sudden access restrictions. Sometimes we may shuffle the itinerary in the best interest of participants, but still end up covering everything.

As a matter of fact, Transforming Travels often ends up showing more places to travellers than what we have promised.

If you have personal interests like café hopping, meeting a friend in town or checking out a unique local spot, let us know early so we can guide you on how to fit those plans in without missing out on group activities.

5. What Kind of Hotels or Resorts Will Be Used in a Group tour?

Accommodation can make or break your trip, so ask in advance.

At Transforming Travels, we handpick and pre-confirm 3-star, 4-star, and select 5-star properties. We don’t book hotels last-minute. You can also ask us for specific hotel names, which we’re happy to share once you’re in the conversation.

If you have specific requirements, such as non-negotiable in-room amenities, private rooms, proximity to city centres, or nature stays, please let us know before booking.

6. Do I Need a Visa or Travel Insurance?

Travel insurance is not always mandatory, but it is sometimes strongly recommended, depending on the destination or the nature of the tour. Ask whether the travel insurance is mandatory or recommended. If yes, whether the tour company offers assistance with visa applications and whether it’s part of the package or not, because sometimes it is.

Insurance should cover medical emergencies, trip cancellations, lost baggage and other potential risks.

7. What’s the Luggage Allowance or Restriction?

Space can be limited, especially if the tour includes domestic flights, train travel or compact transportation like jeeps or boats. Clarify if there are size or weight restrictions on luggage.

Knowing this in advance helps you pack smart and avoid last-minute hassles. It’s also good to ask whether there are facilities for storing extra bags during the tour. You can also avoid last-minute hazards such as extra charges for luggage at the counter of airlines during domestic flights by clarifying these things in advance.

8. What Is the Cancellation and Refund Policy?

Always ask the very first and foremost question: What’s the cancellation policy?

Then: How far in advance can I cancel for a full or partial refund?

Alternatively, you can also ask: What if the tour is cancelled by the tour operator? Just FYI, we, Transforming Travels, never cancel a trip after committing, as long as there are no unforeseen circumstances such as political disturbance or natural calamity. Our departures are always confirmed.

We offer full transparency, and our refund and cancellation policies are clearly outlined online. We also go beyond the cancellation policy mentioned on the website if possible. We always try our best to minimise the losses for our participants, and in 90% of cases, we have offered them more benefits than stated in the cancellation policy.

9. How Do I Know If a Group Tour Company Is Trustworthy?

With so many frauds and scams happening these days, it’s very natural to wonder if a company is genuine. So, don’t hesitate to ask: “How can I trust your company?”

A trustworthy travel company should be able to guide you clearly. Start by asking where you can check their past traveller reviews on platforms like Google, TripAdvisor, Facebook or Instagram highlights. A well-established company will also have a strong presence on Instagram and other social media platforms.

Additionally, ask if the company is GST-registered and if they provide proper invoices. Be cautious of anyone asking for payments via personal UPI numbers. Always pay to a verified business account, as this is a key sign of professionalism.

At Transforming Travels, we take payments only through our registered company bank account. You can also look at our media presence for added confidence.

10. What Are the Payment Options and Steps to Book a Group Tour?

Before finalising your booking, ask about the available payment methods: credit/debit cards, bank transfers, digital wallets, etc. Some companies offer instalment plans or early-bird discounts.

Also, clarify the booking steps. Do you need to pay a deposit to reserve your spot? When is the balance due? Understanding the process ensures a smoother transaction and timely confirmation.

Bonus Questions to Ask

Here are a few extra questions we recommend asking us directly:

  • I don’t have an Indian Passport or Aadhaar. Can I still book?
  • Do I need to pay for the package first or book my flights first?
  • Should I apply for my visa before or after confirming the tour?
  • Can I pay extra and get a single-occupancy room?
  • Will you be able to arrange flights cheaper than booking portals?
  • What other expenses should I keep in mind that aren’t part of the package?
  • I have a few health issues. Will this tour be okay for me?
  • Can I bring my parents along? Will the tour suit them?
  • I’m unsure between the Mauritius and Maldives trips. Can I call to decide which works best for me?

These often-overlooked questions can save you time, money and confusion down the line.
